Owner’s Representation
The Owner's Representative interfaces with all project team members to track issues, facilitate work, and expedite solutions.
While a General contractor concentrates on the immediate tasks and physical work, an owner’s representative or project manager is actively weighing consequences from all angles. Owner’s representatives exemplify and speak for the client’s interests only, not the interests of the design team or the contractors. The owner’s representative is much like the conductor in a symphony, making sure that all the talented musicians play on key and in harmony to produce a pleasing and successful concert. This role is crucial to clients who are embarking on first-time or one-of-a-kind projects with complex scopes of work. An expert representative with a detailed knowledge of the specific differences and coordination required in production, fabrication, construction, and installation methods for thematic or hospitality projects ensures that clients get what they pay for and have an experienced partner on their side.
Planning and Design Management
As projects evolve from sketches and ideas to fully-fledged designs, our project management team helps track, coordinate, and balance needs for the architectural design, engineering, and production teams. We chair regular design review meetings, coordinate design of off-site and on-site work with the project’s architecture and engineering teams, as well as local permitting agencies to establish design phase milestones and a permitting strategy. We solidify alignment across all architects, consultants, engineering, and preconstruction teams, and track all reviews and approvals with owner operations, participants, and key stakeholders. The AOA project manager will lead the designer and consultant selection and interview process; this includes assisting in contract execution between the owner, architect, engineers, interior designer, and other sub consultants depending on the project needs. Having an AOA Project Manager involved in the design process early on helps ensure that the selected designer is held accountable for coordinating all of the design documents between the multiple design disciplines. This can also include coordinating third-party constructability reviews of the plans and specifications, assisting in verifying that the design complies with the owner’s program, and facilitating value engineering as required to maintain the budget.
Code Compliance and Procurement
Working closely with the chosen design teams and owner, we help investigate and define the regulations and specific building code requirements that may apply to your project early on. This can include completing applications for required permitting and managing the code compliance process during construction to help prevent project inspection or permit approval delays. The code compliance and due diligence process works hand in hand with developing the project procurement strategy, keeping our eye on the budget and schedule while ensuring your project execution and delivery goals are attained. Our team can conduct interviews for general contractor selection, perform due diligence on selected general contractors or vendors, issue and manage the Request for Proposal (RFP) process, and manage the development of a comprehensive buyout strategy for any required service.
Cost Estimating, Budget Management, and Scheduling
Our project management team manages the overall project budget development and establishes cost control measures throughout the project. Our goal is to have the completed project design and all-in costs match the financial projection established early on. Project budgets and schedules are closely intertwined, and the success of one is highly contingent on the other. Our team performs cost planning and budget preparation services at the beginning of a project, coordinating precise and ongoing budget estimation updates and reviews at significant project milestones. This includes establishing the master project schedule, pre-construction schedule, and a system for routine updates to the project schedule that inform detailed project status reports. When necessary, we manage targeted value engineering efforts and always align participation across design intent and the owner’s project requirements. These actions ensure an adherence to owner expectations across the conceptual, schematic, design development, and construction document phases of a project. As the project moves into construction, we perform ongoing cost management services, managing change order reviews, analyzing bids, reviewing general contractor estimates, assisting with owner direct vendors, and tracking both operational costs and soft costs. Simultaneously, we coordinate and manage the architectural, engineering, and other preconstruction services, including invoice and pay application reviews throughout the design process.
Bidding and Construction Project Management
We manage the bidding process to reduce risk to the owner by having the general contractor bid out as many trades as possible with the most up-to-date and complete plans and information. This process includes assembling and issuing bidding documents through the design team, allowing the project team to identify potential subcontractors and suppliers and making recommendations for general contractors. We review bids for completeness, make recommendations for award by the owner, coordinate applications for all appropriate permits, reconcile cost estimates with the general contractor, and negotiate contracts with the general contractor on behalf of ownership. During the project’s construction phase, our project managers manage, monitor, and enforce the progress of construction. We ensure that all required insurance programs and bonds are in place, manage scope of work changes, and coordinate deliveries and installation of all FF&E and required utilities to the site. We are the lead facilitator of all conversations between the owner, project team, architects, consultants, and the general contractor. Our team initiates, negotiates, and assists in the execution of all contract services between the owner, architects, consultants, the general contractor, all testing services, life safety firms, third-party engineering firms, FF&E purchasing agents, civil and infrastructure consultants, and foundation and soils engineers.
